Copilot Agent, powered by advanced AI capabilities, can transform how you work with documents in your SharePoint environment. When enabled, it brings interactive assistance directly into your Navigator 365 application—helping you quickly locate information, summarize content, and collaborate more effectively. In this article, we’ll walk through the steps to use Copilot in Navigator 365, including how to select files, start the agent, and get the most from its AI-driven insights.

SharePoint Copilot License/Enablement
Make sure your organization has enabled Copilot functionalities in SharePoint. Contact your administrator if you’re not sure whether you have access to Copilot Agent. -
Navigator 365 Application
Ensure you have the latest version of the Navigator 365 app installed (2.21.0 or higher). This is where Copilot will appear if it is enabled for your account.
Using Copilot
To start using Copilot in Navigator 365, simply run a search and wait for your results to appear. Then, look for the Copilot button on the right side of the search box. When you click it, a Copilot panel will open below, revealing checkboxes next to each search result. By default, you can select up to 20 items, but this limit may be configured differently by your administrator or site owner. After choosing your items, click Start Copilot to open the Copilot agent window, where you can ask questions and request summaries based on the documents you’ve selected. Keep in mind that Copilot only accesses files you have permission to view; if you need to select more items than your current limit allows, contact your administrator or site owner for assistance.
Configuring Copilot Options
Below is an overview of the Copilot configuration options available in Navigator 365 settings:
- Display Copilot button in search: Toggles whether the Copilot button is visible next to the search box. When set to “Yes,” users see the Copilot button on the left side of the search bar.
- Maximum number of documents: Specifies how many documents Copilot can reference at once (default is 20). Officially SharePoint Copilot agents support up to 20 sources, but in real-life scenarios we've seen it handling 100's.
- Agent name: Lets you customize what your Copilot instance is called (e.g., “Navigator 365 Agent”).
- Agent description: Provides an internal note that describes what the agent does. It does not influence Copilot agent capabilities. Currently, this description is not displayed to users.
- Agent welcome message: Defines the initial greeting users see when Copilot starts. Use this space to prompt them to begin asking questions or provide brief guidance.
- Agent starter prompts: Supplies ready-made questions or tasks that help users get started quickly. For example, if Navigator 365 is tailored for HR documents, you could suggest prompts like “Summarize my health insurance coverage,” “What are my PTO options?” or “Explain my 401(k) benefits.”
- Instructions for agent: Dictates how the agent should respond and what data it handles. This configuration shapes the AI’s tone, detail level, and scope, allowing you to fine-tune its interactions with users.
